How Learning for Life Fixed Its File Sharing and Got Back to Supporting Learners

Overview

Learning for Life is a North East charity working with adults who have a wide range of complex needs and disabilities. Its aim is simple: help people build the independence, confidence and life skills they need to thrive.

As the charity expanded across more than one site, the IT systems set up by its previous supplier stopped keeping up, and started causing problems for the whole team.

The Challenge

SharePoint had been set up when Learning for Life was smaller. As the organisation grew, the file structure began slowing everyone down.

Staff struggled to access files when they needed them, information was being duplicated, and syncing errors were affecting work at both locations. Tutors couldn't reach key resources, managers were fielding complaints, and support tickets kept piling up.

Instead of focusing on learners, the team was losing time just keeping IT working from one day to the next.

As we grew, the problems just grew with us. We were getting syncing issues, duplicate files, and sometimes we couldn’t even access what we needed. It was affecting everything we did, and the staff were getting more and more frustrated.

The Solution

Smart IT carried out a full review of how Learning for Life works and what it needs, and pinpointed the root cause of the problems.

Working with Marie and her team, we restructured SharePoint and introduced Microsoft Teams as the central hub for collaboration across both sites.

Technology is only half of the job, so we built a tailored support plan around the rollout:

  • On-site training sessions on best practice with the new systems
  • Step-by-step guides so staff had something to refer back to
  • Extra support for managers to help their own teams
  • Smart IT engineers on hand to answer questions throughout

The first few days brought some teething problems, as any change does. With clear guidance and support available, they were resolved quickly, and within a couple of days the team was using the new setup with confidence.

Staff no longer lose time to syncing errors, managers aren't tied up with complaints, and Marie can focus on the most important part of her role: supporting learners.
